Your academy handles sensitive information — student records, attendance, and payments. Here's exactly what we collect, how it's protected, and what happens to it if you ever leave.
What we collect
Three kinds of data, nothing more
STUDENT DATA
Student & academic records
Names, contact details, batch assignments, attendance, and performance records — entered by your academy's own staff.
BIOMETRIC DATA
Face-recognition attendance data
Used only to match a student to their attendance record at kiosk check-in — nothing more.
PAYMENT DATA
Payment & billing information
Processed through our payment partners. AcadifyOS does not store card numbers.
How we handle biometric data
Face-recognition attendance is the feature academy owners ask us about most carefully, and rightly so — it's the one place our platform touches biometric data. Here's the direct version:
- A student's face is used only to match them to their own attendance record — it isn't used for anything else.
- It's stored on the same encrypted infrastructure as the rest of your academy's data, not a separate, less-protected system.
- It is never sold, traded, or shared with third parties.
- If a kiosk doesn't recognize a face, staff can always mark attendance manually — no student is ever blocked from being marked present.
- It's deleted along with the rest of your organization's data if you close your account.
Where it lives, and who owns it
Your data belongs to your academy
Encrypted, always
Data is encrypted both at rest and in transit, on secure cloud servers with encrypted backups.
You own it, we don't sell it
Every record belongs to your organization. We have no system that shares it with third parties, and we don't sell or trade it — ever.
Processed in India
Data is processed primarily in India, with regular security audits and access controls on who can reach it.
Deleted on request, for good
Retained for your subscription plus a 90-day grace period after cancellation, then permanently removed — or sooner if you request deletion.

Is biometric attendance data shared with anyone outside my academy?
No. Facial data is used only to match a student to their attendance record. We do not have any system that shares an organization's data with third parties, and we never sell or trade it.
What happens to our data if we cancel?
Your data is retained for the duration of your subscription plus a 90-day grace period after cancellation, after which it is permanently deleted from our systems.
How do we request our data be deleted immediately?
Email contact@acadifyos.com with the subject "ACCOUNT DELETION" and your account's primary email address. We confirm the deletion back to you by email once it's complete — see our full data deletion policy for the process.
Where is our data stored?
On encrypted cloud servers, with data processed primarily in India. Backups are encrypted, and we run regular security audits alongside access controls on who can reach your data.
